Thank you for your interest in the Welcome Center Rhein-Neckar, for which we provide information and contact details on this website.

Below you will first find a summary of how we handle your personal data when you visit this website. Following that, you will find details regarding data protection, your specific rights as a data subject, and the contact information of the data controller.

Who is responsible for data collection on this website?

Data processing on this website is carried out by the website operator. You can find their current contact details below under point 3 (section “Information on the controller”) and in the website’s legal notice.

How do we collect your data?

Your data is of course collected when you provide it to us. This includes, for example, the data that you send us using the contact details provided.

In addition, when you visit the website, some technical data must be collected automatically so that the website can be displayed at all (e.g. the browser used). If you have also consented to certain additional functions, we will only collect data to the extent of your consent for these functions after you have given your consent.

What do we use your data for?

Some of the data is collected to ensure that the website is provided without errors. Other data may be used to analyze your user behavior.

What rights do you have with regard to your data?

You have the right to information about the personal data stored about you. If incorrect personal data is processed, you have the right to rectification. If the legal requirements are met, you can request the deletion or restriction of processing and object to processing. If you have given your consent to data processing, you can revoke this consent at any time for the future. Furthermore, you have the right to lodge a complaint with the competent supervisory authority if you are of the opinion that your personal data is being processed unlawfully.

You can contact us at any time for this purpose. We will then check whether the legal requirements are met.

Hosting

To operate our website, we use the help of a specialized host service provider who processes and stores personal data on our behalf and in accordance with our instructions when the website is accessed. This may include, for example, your IP addresses, your contact requests or communication data relating to your access to our website. Our host service provider will only process your data to the extent that this is necessary and follow our instructions with regard to this data. Details on the processing of your data when using the website can be found below in section 4.

Of course, we have taken appropriate measures to protect your personal data from unauthorized access by third parties. However, we would like to point out that data transmission over the internet may be subject to security vulnerabilities, and complete protection of data against access by third parties cannot be guaranteed given the current state of technology.

Unless a more specific retention period is stated in the following sections of this privacy policy, relevant personal data will only be stored by us for as long as necessary for the purposes described. Exceptions to this include data that is subject to statutory or otherwise required retention obligations (e.g., tax or commercial law retention periods); these will be stored for the duration of the respective retention period and subsequently deleted in accordance with legal requirements.

Revocation of Your Consent to Data Processing

Some data processing activities are only possible with your explicit consent. You can withdraw any consent you have already given at any time. The lawfulness of the data processing carried out until the withdrawal remains unaffected by the revocation.

Right of Access

You have the right to request information from us about whether and which personal data concerning you we are processing.

Rectification/Erasure/Restriction of Processing

Furthermore, you have the right to request that:

  • Inaccurate personal data concerning you be rectified without delay (Right to Rectification);
  • Personal data concerning you be erased without delay (Right to Erasure); and
  • The processing be restricted (Right to Restrict Processing).
Right to Data Portability

You have the right to receive personal data concerning you that you have provided to us in a structured, commonly used, and machine-readable format, and to transmit those data to another data controller.

Right of Withdrawal

You have the right to withdraw your consent at any time. The withdrawal of consent does not affect the lawfulness of the processing carried out based on the consent until the withdrawal.

Right to Object

If the processing of personal data concerning you is necessary for the performance of a task carried out in the public interest (Art. 6 para. 1 letter e) GDPR) or for the purposes of legitimate interests pursued by us (Art. 6 para. 1 letter f) GDPR), you have the right to object.

Right to Lodge a Complaint with the Supervisory Authority

Right to Data Portability

You have the right to request that data we process automatically based on your consent or in the performance of a contract be provided to you or to a third party in a structured, commonly used, and machine-readable format. If you request the direct transfer of the data to another data controller, this will only be done if technically feasible.

Right to access, Rectification, and Erasure

You have the right, at any time and free of charge, to request information about your stored personal data, its origin, recipients, and the purpose of the data processing, as well as the right to rectification or erasure of this data, if applicable.

Right to Restriction of Processing

You have the right to request the restriction of the processing of your personal data. You can contact us at any time for this. The right to restrict processing applies in the following cases:

  • If you dispute the accuracy of your personal data stored with us, we generally need time to verify this. During the verification process, you have the right to request the restriction of the processing of your personal data.
  • If the processing of your personal data is unlawful, you may request the restriction of processing instead of erasure.
  • If we no longer need your personal data but you require it for the establishment, exercise, or defense of legal claims, you have the right to request the restriction of processing instead of erasure.
  • If you have filed an objection under Art. 21 para. 1 GDPR, a balance must be struck between your interests and ours. As long as it is not clear whose interests outweigh the other, you have the right to request the restriction of the processing of your personal data.

If you have restricted the processing of your personal data, these data – apart from their storage – may only be processed with your consent or for the establishment, exercise, or defense of legal claims, or to protect the rights of another natural or legal person, or for reasons of important public interest of the European Union or a member state.

Data Collection on this Website

Accessing the Website

Each time you access the website and retrieve content, information is automatically logged that is transmitted by your browser. The information is processed and stored solely for the purpose of providing the website and ensuring its proper and secure operation. The legal basis for this is Art. 6 para. 1 letter (e) of the GDPR in connection with Section 4 of the LDSG, which permits data processing for the fulfillment of our public tasks, including public relations.

Specifically, the following information is collected when accessing the website:

  • Type and version of the browser used;
  • Operating system used;
  • Referrer URL (i.e., the page from which you arrived at our website);
  • Hostname of the accessing computer;
  • Time of the server request.

The information is kept separate from any data related to a specific person and is not merged with other data about an individual. The information is deleted once it is no longer needed for the purpose for which it was collected. As a rule, the logged data will be deleted no later than 360 days.

Cookies

Our website uses so-called “cookies.” These are small text files that are stored on your device. Cookies do not allow personal data to be read from your device. They do not cause any harm to your device and cannot contain viruses.

With the help of cookies, we can tailor the information offered on the website to meet the needs of users and provide user-friendly functions, such as saving selected settings and your consent to display YouTube content, so that the website is presented in accordance with the users’ preferences. Additionally, some of the cookies are used to ensure that the website and its content are properly protected against unauthorized third-party access.

We primarily use technically necessary cookies, which serve the basic functions of the website and security measures during your visit. The use of these cookies is necessary to provide our website properly, particularly enabling us to offer selected functionalities to users. The legal basis for the use of these cookies and the associated data processing is § Section 25 (2) no. 2 of the Telecommunication-Telemedia Data Protection Act and Article 6(1), first subparagraph, point (e) GDPR in conjunction with § section 4 LDSG. Part of the municipal tasks is to inform the public about the work of the city, for which visitors should be provided with a functioning and secure information offer that can be used as user-friendly and securely as possible.

The cookies used for these purposes are partially deleted when you close your browser (so-called session cookies), while other cookies remain stored on your device for a limited period of up to one year.

Cookies are stored on the device you are using and transmitted from there to our website. Therefore, as a user, you also have full control over the use of cookies. By changing the settings in your browser, you can prevent or restrict the setting of cookies. Already stored cookies can be deleted at any time, which can also be done automatically. If cookies are disabled for the website, you may not be able to use all the functions of the website fully.

To the extent that cookies are used for other purposes or third-party services we use set cookies, we will inform you in the following sections of this privacy policy or a separate cookie policy for the website. There, you will also have the opportunity to decide on the setting of cookies and revoke any consent to cookies or refuse the setting of cookies.

Contacting Us

On our website, you will find contact details that allow for quick (electronic) communication with us, also in consideration of legal requirements. If you contact us (e.g., via the provided email address), we store and use the transmitted personal data exclusively to process your inquiry properly.

The legal basis for this data processing is (Art. 6 para. 1 letter e) GDPR). We process inquiries related to our public duties accordingly and forward inquiries beyond that to the relevant authority.

YouTube-Videos

Certain sections of the website embed content such as videos from the YouTube platform to provide engaging information. The YouTube platform is provided by YouTube LLC, 901 Cherry Ave., San Bruno, CA 94066, USA (“YouTube”), a subsidiary of the Google Group.

When you visit a section of the website with YouTube content, a preview image with a notice is displayed instead of the YouTube content. Only when you consent to the display of the YouTube content, a connection to the YouTube servers in the USA is established to display the video, during which the service providers receive your IP address and learn that you have visited our website.

We would like to point out that there is currently an adequacy decision from the EU Commission regarding data transfer to the USA, which ensures an adequate level of protection in accordance with Article 45 of the GDPR. Within our capabilities, we also take precautions to adequately address any remaining risks to your personal data.

YouTube processes the viewing of the videos independently and may statistically record the view via cookies. However, we embed YouTube videos in the so-called “extended data protection mode” so that the cookies used by YouTube are limited and only set when you start a YouTube video. Furthermore, you can restrict or refuse YouTube cookies via your browser settings. YouTube performs the statistical evaluation automatically and independently when the video is accessed, without us being able to disable or influence it.

For details on YouTube’s data protection, particularly how they handle your data and their protective measures during data transfer, as well as your data protection rights as a data subject in relation to YouTube, please visit: https://policies.google.com/privacy.

The above data processing, including the data transfer to YouTube and Google, occurs only after your consent to this data processing for the purpose of providing the content, and the legal basis for this is your consent according to Art. 6 para. 1 letter a) of the GDPR. This consent can be revoked at any time with effect for the future; to do so, select the “Cookies” menu and adjust your decision, then reload the website in your browser. Please note that data processing by YouTube and Google prior to the revocation is not affected by this.

Google Fonts (Lokal Hosting)

Our website uses the Google Fonts service for uniform font display. However, the Google Fonts are stored locally on our servers. Therefore, no connection to Google’s servers takes place.

Use of Friendlycaptcha for Spam Protection

Our contact form integrates the tool Friendlycaptcha. This is used to check whether the input on the contact form is made by a user or abusively by automated programs (so-called “bots”).

For this purpose, the provider of Friendlycaptcha, Friendly Captcha GmbH (Am Anger 3-5, 82237 Wörthsee), collects your IP address, technical details of your web browser and possibly your device, the accessed part of our website, the date and time of access, and any input you provide to the Friendlycaptcha verification prompt. No cookies are set or used for this purpose. Friendlycaptcha receives the data only when you click the button to start the “anti-robot verification.” Details of this processing are summarized by the provider here: https://friendlycaptcha.com/de/legal/privacy-end-users/

If we receive any data in this context, we process it only for as long as necessary to verify your input and delete it afterward. We use Friendlycaptcha solely to detect and prevent abusive or technically harmful use of our website. We implement these processes on the basis of Article 6(1) sentence 1 letter e) of the GDPR in conjunction with Section 4 of the LDSG. To ensure the continuous, proper receipt of (electronic) citizen inquiries within the scope of our tasks, it is necessary to protect the provided contact options from misuse and resulting risks of service disruption.
